An estimate is sent before work begins and represents the expected cost — it is not legally binding as a payment demand. An invoice is sent after work is delivered (or at agreed milestones) and is a formal payment demand. Some estimates convert to invoices when the client approves them (quote-to-invoice workflow). A purchase order (from the client) is the formal approval of your estimate, authorising you to proceed and raise an invoice.

A quotation or estimate by itself is not a contract. It becomes binding only when the client accepts it (ideally in writing via a purchase order, email confirmation, or signed copy). Once accepted, the quotation forms the basis of the contract terms. Always get written acceptance of an estimate before commencing significant work, especially for high-value projects.
